Members
Members are the people who can sign in to an Engage organisation. Each has a role and a set of permissions, and moves between four states: invited, active, inactive, and deleted. The Members page holds one tab per state.
Before you begin
- You have the permission for the action. Viewing members, inviting, updating, and deleting are separate permissions, and a control you lack the permission for is disabled with a tooltip such as You don't have the access to invite user.
- The person's email address. Invitations are sent by email.
Open the members page
Select Settings > Members. The page opens on the Active tab; Invited, Inactive, and Deleted sit beside it. Search users filters the current tab.
Roles
| Role | Meaning |
|---|---|
| Admin | Full access, including creating teams and managing SSO customisation. Permissions are shown read-only. |
| User | An organisation member whose access is set by the permissions granted on their profile and teams. |
| Client | A member of a tenant organisation rather than the default organisation. |
Invite a member
- Select Invite Member.
- In Select Role, choose the role every invitee in this batch will have.
- In Add Emails, enter one or more addresses.
- Select Invite.
Engage confirms with User(s) invited successfully! and the addresses appear on the Invited tab.
Manage an invitation
Each row on the Invited tab has three Invitation actions:
| Action | Effect |
|---|---|
| Copy | Copies the invite link. Engage confirms with Invite link copied to clipboard! |
| Resend | Sends the invitation again. Engage confirms with Invitation resent successfully! |
| Delete | Asks Are you sure you want to delete this invitation? and revokes it on Delete |
Edit a member
- On the Active tab, open the row's action menu and select Edit member.
- Change the role if needed.
- Under Organization Permissions, select the permissions to grant. Search Permissions filters the list, and the quick menu grants a preset: View Access, Edit Access, or Admin Access.
- Select Update.
Engage confirms with User details and permissions updated successfully!. An administrator's permissions are shown but cannot be edited. You cannot open the action menu on your own row.
Deactivate, delete, and restore
| Action | Where | What happens |
|---|---|---|
| Deactivate member | Active tab action menu | The Deactivate Member dialog explains that access is paused and can be restored from the Inactive tab. Confirm with Deactivate; Engage reports Member deactivated successfully! |
| Activate Member | Inactive tab, row action | Confirm in Reactivate Member Confirmation; Engage reports Member re-activated successfully! |
| Delete Member | Active tab action menu | The Delete Member dialog warns that the person's access is revoked and everything they created is deleted. Confirm with Delete; Engage reports Member deleted successfully! |
| Restore Member | Deleted tab action | Confirm in Restore Member Confirmation; Engage reports User restored successfully |
Deactivating is reversible and keeps the member's work. Deleting is not the same operation as deactivating: read the dialog before confirming.
How you know it worked
The member appears on the tab that matches their new state, with their Email and Role. Active members also show First Name, Last Name, and Last Active.
When it does not work
| Symptom | Cause | What to do |
|---|---|---|
| Invite Member is disabled | You lack the invite permission | Ask an administrator to invite the person, or to grant you the permission |
| A tab shows You don't have the access to view users | You lack the view permission | Ask an administrator |
| Please provide valid emails and a role to invite. | An address is malformed, or no role is selected | Correct the address and choose a role |
| The invite reports an address already in the organisation | The person is already a member or already invited | Use Resend on the Invited tab instead |
| Failed to deactivate user or Failed to delete user | The request did not complete | Try again; if it persists, check the member's state on the other tabs |
