Teams

A team is a named group of members with its own set of permissions. Granting a permission to a team gives it to every member of that team, which is easier to keep right than editing each person as responsibilities change.

Before you begin

  • You have the Admin role. Only administrators can create, edit, or delete a team; the Create Team button is disabled for everyone else with the tooltip Only admin has the access to create a team.
  • The people you want in the team are already active members. See Members.

Open the teams page

Select Settings > Teams. The table lists each team's Name, Description, Members count, and Created On, and for administrators an Action column with edit and delete controls. Search teams filters by name.

Create a team

  1. Select Create Team. The Add team drawer opens on its Details tab.
  2. Enter a Team Name. Names are unique within the organisation, ignoring case.
  3. Optionally enter a Description.
  4. Under Team Permissions, select the permissions the team grants. Search Permissions filters the list, and the quick menu applies a preset: View Access, Edit Access, or Admin Access.
  5. Select the Members tab, then Add Members.
  6. In Add members, search for members with Search for users, select them, and select Add.
  7. Select Create.

Create stays disabled until the team has a name, at least one permission, and at least one member. Engage confirms with Team created successfully.

Edit a team

  1. Select the edit control on the team's row. The Edit Team drawer opens.
  2. Change the name, description, or permissions on Details.
  3. On Members, select Add Members to add people, or the delete control on a member's row to remove them. Removing asks for confirmation in a Delete Member dialog and explains the person can be added again later.
  4. Select Update.

Engage confirms with Team updated successfully. Membership changes made on the Members tab are saved as you make them, with Team members updated successfully.

Delete a team

  1. Select the delete control on the team's row.
  2. Read the dialog. It states that the team and all its permissions and associations will be removed from the organisation.
  3. Select Delete.

Engage confirms with the team's name followed by deleted successfully. Members of the team keep their own permissions but lose the ones they had only through the team.

How you know it worked

The team appears in the table with the right Members count. A member of the team now has the team's permissions in addition to their own, which you can check by opening their row under Members and selecting Edit member.
