Deleting Multiple Items

Bulk delete lets you clear out a workspace without deleting items one by one. You switch the Applications panel into selection mode, tick the items you want, and confirm once. Deleted items are permanently removed and cannot be restored.

Export anything you might need again before you delete it. See Exporting an Application.

Before you begin

  • You must be the owner of the workspace. For anyone else, the Manage Workspace Artifacts button is unavailable.
  • You need permission to delete in the workspace. Without it, the checkbox does not appear on the row. Deleting workflows and deleting other items are separate permissions, so you may be able to tick workflows but not resources.

Select items

  1. Open Settings from the side menu.
  2. Select Workspace > General, then open the Overview tab.
  3. Select Manage Workspace Artifacts.

The Applications panel opens with a checkbox on each row you can select. A bar at the bottom of the panel shows how many items are selected, with Cancel and Delete buttons.

  1. Select the checkbox on each item you want to delete. You can also hold Ctrl (Cmd on macOS) and select a row to tick it, or hold Shift and select a row to tick everything between the last item you ticked and this one. A range selection only adds items; it never clears any.

What you can select together

You can mix items from different applications in one selection.

ItemCan you select it?
Workflow, resource, schemaYes.
ApplicationYes. Ticking an application ticks everything selectable inside it.
FolderOnly an empty folder that can be deleted.
The fixed Workflows, Resources and Schemas containersNo.

Unticking an item inside a ticked application also unticks the application, and the other items stay ticked. Unticking an application clears what it brought with it, but keeps any items you had ticked by hand inside it before.

Delete the selection

  1. Select Delete in the bar at the bottom of the panel. The button shows the number of items, for example Delete (3), and stays unavailable while nothing is selected.
  2. Review the list in the confirmation dialog. Items are grouped by application, each tagged with its type.
  3. Read any warnings under the list.
  4. Type Delete in the confirmation field.
  5. If you selected whole applications, tick the acknowledgement checkbox, which begins "I understand".
  6. Select Delete.

Warnings in the confirmation dialog

The delete is not blocked by these conditions. The dialog tells you about them so you can cancel.

  • Items referenced elsewhere. If something you did not select refers to a selected workflow, resource or schema, the dialog says those references will break. After the delete, Studio removes the deleted item from those references.
  • Git-enabled applications. The application is also removed from its Git repository.
  • Bundle applications. The source workflows behind the bundle's custom activities are deleted too.

How you know it worked

A message reports how many items were deleted, for example "3 items deleted successfully." Studio then leaves selection mode, and the items disappear from the Applications panel. If the item you had open was deleted, Studio returns you to the applications page.

When it does not work

SymptomCauseWhat to do
Manage Workspace Artifacts is unavailableYou are not the owner of the workspace.Ask the workspace owner.
No checkbox on a rowYou lack delete permission for that kind of item, or the row cannot be selected (for example a folder that still has contents).Ask your workspace administrator, or empty the folder first.
The final Delete stays unavailableDelete is not typed exactly, or the acknowledgement checkbox for applications is not ticked.Type Delete with a capital D and tick the checkbox.
A message begins "Failed to delete:"Some items could not be deleted. The items that did delete are gone; the message names the ones that remain. Try them again individually.

Leave selection mode without deleting

Select Cancel in the bar at the bottom of the panel. Switching to another left-hand panel also ends selection mode and clears your selection.
